Xero Integration

Sync your invoices, contacts, and payments with Xero accounting software

traidhand connects directly to your Xero account so your invoices, contacts, and payments stay in sync automatically. No more double entry or copying numbers between systems.

  1. Go to Settings and scroll to the Xero integration section
  2. Click Connect to Xero
  3. Sign in to your Xero account and authorise traidhand
  4. Once connected, you'll see a green indicator with your Xero organisation name

Invoices

When you send an invoice in traidhand, it's automatically pushed to Xero as an Accounts Receivable invoice. The line items, totals, VAT, and customer details are all included.

Contacts

When a new contact is created in traidhand (either manually or from an enquiry), it's synced to your Xero contacts list.

Payments

When you mark an invoice as paid in traidhand, the payment is recorded against the corresponding invoice in Xero with the correct payment method (bank transfer or cash).

Once connected, you can configure:

  • Auto-sync invoices — toggle this on to automatically push invoices to Xero when they're sent. Turn it off if you prefer to manage Xero manually.
  • Default revenue account — choose which Xero account code your invoice revenue is posted to (e.g. 200 - Sales).
  • Default tax rate — set the default VAT rate for synced invoices.

If you need to disconnect your Xero account, click the Disconnect button in the Xero integration section. This stops all future syncing but doesn't remove any data already in Xero.

  • "Connection expired" — Xero tokens expire periodically. Simply reconnect by clicking Connect to Xero again.
  • Invoice not appearing in Xero — Check that auto-sync is turned on in Settings. Only sent invoices are synced (drafts are not).
  • Wrong account code — Update your default revenue account in the Xero settings section.

The Xero step also appears in the Setup Guide when you first set up traidhand. You can skip it and connect later, or permanently dismiss it if you don't use Xero.
